Migrating your data to Trail

Moving your data from one CRM to another is like getting second-hand furniture and giving it new life.

You'll probably need to fix it up, make sure it fits in its new spot, and get it ready to be useful and look great in its new home.

If you’re coming to Kiwi Adviser Network & Trail from having had a previous CRM, you'll likely want to transfer your clientbase over.

So what does this process look like? How long will it take? How much will it cost? Read on to learn the answers to these questions!

What Is the Data Process?

Step 1: You Gather Your Data

Send us the data from your previous CRM provider as soon as you get it. The data is usually sent in a link format with password protection. Due to security reasons, they normally have a 24-hour expiry too. If the expiry is missed, you'll need to request an additional link from your previous CRM provider.

Step 2: We Download and Import

We'll download and examine your data. Our team will align it with Trail’s system and clean it up.

While waiting, you can start using Trail for new or current clients and go through our Pathfinder training program. More on this here!

Step 3: You Review Your Data

We import your cleaned data to a test environment. Please review it to ensure everything looks right and let us know as soon as possible if there is anything that needs changing or adjusting.

Once you approve, we'll move the data to the live Trail CRM.

Step 4: Your Data is LIVE!

Your data is now in Trail. Some post-import cleanup may be needed to ensure accuracy. Enjoy accessing your data with all of Trail’s new features!

How long will the process take?

Once we receive your data (Step 2 in the process), it will typically take 2-4 weeks unless there are unique complications.

The timing can vary based on:

  • Your Previous CRM: The notice period and data export time of your previous CRM, and our experience with exported data from them.

  • Data Condition: This is how organized your data is currently. Clean data in means clean data out.

  • Data Type: The type of data you want to migrate can affect the complexity of the work.

What about my previous CRM?

To avoid delays, we recommend giving timely notice to your previous CRM to account for both the export and import processes.

Their notice period and data release time are key for the timing of your data migration. Some CRMs provide data the same day, most take a couple of weeks, and the longest can be 6-8 weeks.

We also recommend you have your previous CRM accessible until you are finished reviewing your data (done with Step 3) to refer to and check your data as we migrate it to your Trail account.

How much does this cost?

This ranges between $750+GST to $2500+GST. The cost depends on the complexity and time of the data work involved.

A single adviser moving from a common software product in NZ is typically $750+GST. A more complex and bespoke import or a large migration from e.g. XPlan is around the $2400+GST mark.

We will always discuss your data migration options and costs before beginning any data work.
